Product guide: Settings & API keys
Settings & API keys
Set up the company workspace, manager access, and API keys for AI assistants.
Company settings, managers & rates
Set up company details, timezone, currency, guide rate defaults, and manager access.
- Who uses it
- Company managers
- Where to find it
- Settings → Company / Managers
Why it helps
Give your operations colleagues a shared workspace with consistent company defaults.
How to use it
- Open Settings → Company and review the company’s contact and billing details.
- Set the Timezone, Currency, and Default guide rate for the company.
- Open Settings → Managers and use Add with the colleague’s email address.
- Keep manager access and freelancer connections current as the team changes.
Example
Add a second operations manager and set the company timezone before planning departures across daylight saving changes.
Keep in mind: Manager access is different from a freelancer connection. The Managers screen does not provide a custom permission matrix. Review timezone and rate settings before using import or reports.

Connect a compatible assistant to company tour and scheduling tools using an API key.
- Who uses it
- Company managers setting up an assistant
- Where to find it
- Settings → API Keys
Why it helps
Ask a connected assistant to inspect the schedule or prepare changes through the available EasyPlanning tools.
How to use it
- Create a company API key in Settings → API Keys and copy it when it is shown.
- Connect an MCP client that supports the EasyPlanning server URL and x-api-key authentication header. Follow the separate MCP connection guide.
- Start with a read-only request, such as listing next week’s departures with open staff positions.
- For changes, specify the departure, local date and timezone, and intended result. Review the updated departure and its Team afterward.
Example
Ask your assistant to list next week’s departures in Vienna that still need a guide.
Keep in mind: Company API keys can expose write tools that create templates and departures or update departures. Treat the key as a credential. The public MCP toolset does not include every screen or report in the app.
