Product guide: Freelancer guide
For freelancers
Manage your calendar, availability, personal tours, and notifications as a freelancer.
Freelancer calendar & tour details
Give freelancers their own browser-based workspace for tours, requests, and applications.
- Who uses it
- Freelancers
- Where to find it
- Freelancer Calendar
Why it helps
Let freelancers manage their side of scheduling and find tour information from their phone.
How to use it
- Sign in with the freelancer account and open Calendar.
- Review confirmed tours, respond to assignment requests, and browse eligible available tours.
- Open a tour to read Details, People, Documents, and Comments as available for that tour and assignment status.
- Use Settings to update the profile, availability, blockouts, company connections, and notification preferences.
Example
An assigned guide checks the meeting point, guest details, and voucher document before leaving for a tour.
Keep in mind: Details and People are available before confirmation; Documents and Comments unlock once the assignment is confirmed. The freelancer portal is a web app; no installation is required.
Open this area in EasyPlanningAvailability, time off & travel buffers
Freelancers declare working windows and block out time when they cannot work.
- Who uses it
- Freelancers; managers use the results when planning
- Where to find it
- Freelancer Settings → Availabilities / Blockouts
Why it helps
Reduce repeated availability checks and make holidays and other commitments visible to scheduling.
How to use it
- In the freelancer account, open Settings → Availabilities and add a date range, time range, and weekdays.
- Use Settings → Blockouts for holidays or other periods that must not be booked.
- Set Time between slots in the freelancer profile when travel or preparation time is needed.
- Keep these settings current and review the available candidates for a departure in the company account.
Example
A guide works weekday mornings, blocks out a holiday week, and needs a buffer between consecutive tours.
Keep in mind: A freelancer only sees open departures that match their cities, languages, and interests, fall fully inside a declared availability window, and do not clash with blockouts or other tours, including the time between slots.
Open this area in EasyPlanningPersonal tours for outside work
Freelancers record work outside EasyPlanning so that time is marked busy.
- Who uses it
- Freelancers
- Where to find it
- Freelancer Calendar → Personal tour
Why it helps
Account for external commitments while keeping their tour details in the freelancer’s own workspace.
How to use it
- Open the freelancer Calendar and select Personal tour.
- Choose a future date, start time, duration, name, city, language, and meeting address. Add a description or notes if needed.
- Save the tour. Open its details and use the edit action when the commitment changes.
Example
Record a private tour booked outside the platform so an overlapping company tour is not treated as free time.
Keep in mind: A personal tour is visible only to the freelancer and marks the time busy. It is not an application or a request for a company to create work.
Open this area in EasyPlanningNotifications, reminders & calendar invites
Receive scheduling updates in the app and by email, with calendar files for supported tour emails.
- Who uses it
- Company managers and freelancers
- Where to find it
- Notifications / freelancer Settings → Notifications
Why it helps
Keep people informed about requests, confirmations, cancellations, and upcoming work.
How to use it
- Review notifications in the application when scheduling events need attention.
- Freelancers can turn email notifications on or off in Settings → Notifications.
- Respond to requests in EasyPlanning and check the resulting assignment status.
- Freelancer request, reminder, and manager-confirmed assignment emails include a .ics file. Add that event to Google Calendar, Apple Calendar, or Outlook.
Example
A guide receives a confirmation email and saves the attached tour event to their personal calendar.
Keep in mind: A .ics attachment adds one event; it is not a continuously synchronized calendar subscription. Email delivery depends on the freelancer’s notification setting and the event type.
