    Reports

    Why it helps

Use the schedule’s data to review staffing coverage and how work is distributed.

    How to use it

    1. Open Reports and select the period you want to review.
    2. Review Fill Rate and Cancellation Rate to understand staffing coverage and cancellations.
    3. Use guide distribution, guide hours, guide costs, applications, and top tours charts for operational comparisons.
    4. Check the underlying tours and guide rates when a figure needs explanation.

    Example

Review the past month’s guide hours and costs when preparing your freelancer payment calculations.

Keep in mind: Fill rate is the share of staff positions that are requested or confirmed, not tickets sold. Top tours and guide distribution show operational activity. These reports do not constitute a guide quality score or a payroll payment.

Reports → Utilization / Free Time

    Why it helps

See where your team has spare capacity before accepting additional work.

    How to use it

    1. Open the Utilization / Free Time chart in Reports.
    2. Choose its date range and daily, weekly, or monthly grouping. This chart has its own controls.
    3. Choose one freelancer or All Guides and switch between Utilization and Free Time.
    4. Compare capacity, tour hours, and blockouts with the dates and requirements of the proposed departure.

    Example

Look at next month’s free time to see which weeks may have capacity for extra tours.

Keep in mind: Utilization includes tour hours and blockouts as busy time. Free hours use recorded availability where it exists and otherwise assume 9 hours per working day; they do not guarantee suitability for a particular tour.
